Systemy POS — Privacy Policy

At a glance: Systemy POS is a private business tool that runs against the Merchant's own Odoo server. We do not sell your data, we do not share it with advertisers, we do not include any third-party analytics or tracking SDKs, and we do not track users across other apps or websites owned by other companies (as defined by Apple's App Tracking Transparency framework).

1. Who we are and who controls the data

Systemy POS ("the App") is published by RAQMIA Technologies ("we", "us", "our"). The App is licensed to retail businesses ("the Merchant") for use on their store devices.

The Merchant is the data controller for every record entered into the App on their register: customer names, phone numbers, sale-order data, and receipts. RAQMIA Technologies acts as a data processor on the Merchant's behalf: we build the software, but we do not receive, read, or store any Merchant data on our own systems.

If you are a customer of a Merchant using Systemy POS and want to exercise your rights over your data, please contact the Merchant directly. If you cannot identify the Merchant, contact us at the address in section 14 and we will route your request.

2. What data we handle

The App stores the following categories of data locally on the device where it is installed, and syncs them to and from the Merchant's own Odoo server. These categories align with the App Privacy questionnaire disclosed on the App Store product page.

3. What we do NOT collect

  • Location data of any kind (GPS, IP-derived, or otherwise).
  • Contacts from the device address book.
  • Photos or media outside a single logo image the manager explicitly picks and imports.
  • Health, fitness, financial account credentials, or biometric data.
  • Advertising identifiers (IDFA on iOS, AAID on Android), analytics cookies, or any cross-app / cross-website tracking signal. The App does not present the App Tracking Transparency prompt because it does not track.
  • Crash reports or telemetry beamed to third-party analytics services.
  • We do not sell personal information. We do not share personal information for cross-context behavioural advertising.

4. Legal basis for processing

Where GDPR applies, we process personal data under the following legal bases:

  • Performance of a contract (Art. 6(1)(b) GDPR) — the Merchant contracts with us to license the App, and the App must handle customer/order data to perform its function.
  • Legitimate interest (Art. 6(1)(f) GDPR) — keeping the App secure and diagnosing on-device errors.
  • Consent (Art. 6(1)(a) GDPR) — where consent is the appropriate basis (e.g. optional device permissions such as camera). You may withdraw consent at any time via the device's system settings.

5. Where the data flows

All data flows directly between the App and the Merchant's own Odoo backend over HTTPS/TLS. No copy of Merchant data is stored on RAQMIA Technologies servers.

  • Merchant's Odoo backend — receives orders, payments, and customer syncs. The Merchant chooses whether to host this instance themselves or through a hosting provider they have contracted.
  • Local thermal printers — the App sends receipt payloads over the Merchant's private Wi-Fi to printers the manager configures. These payloads never leave the local network.
  • Apple App Store / Google Play — used only to distribute the App binary and, for iOS, deliver push notifications infrastructure. No user data is transmitted to these platforms by us. Standard platform analytics that Apple or Google collect on their own are governed by their respective privacy policies.

We do not share data with any of the following: advertising networks, data brokers, marketing partners, social media platforms, or third-party analytics providers.

6. Retention and deletion

  • On the device: data is retained for as long as the App remains installed and the Merchant chooses to preserve it. Cashiers may sign out at any time, which clears the session cookie. Uninstalling the App or clearing its storage from the device settings deletes all locally cached data.
  • On the Merchant's Odoo server: retention is governed by the Merchant's own record-keeping policy and applicable local law (typically 5–7 years for tax records in most jurisdictions).
  • Diagnostic logs on the device are rotated automatically and are never transmitted off-device.

7. Security

We apply the following safeguards:

  • All network traffic between the App and the Merchant's Odoo server is transmitted over HTTPS with TLS 1.2 or newer.
  • Cashier PINs are stored on the device only as a SHA-256 hash; the plaintext PIN is never persisted.
  • Sign-in credentials are stored in the device's secure storage (iOS Keychain / Android Keystore-backed encrypted shared preferences).
  • The App does not embed any third-party SDK that transmits data.

No security control is perfect. If you become aware of a vulnerability, please report it to apps@raqmia.com.

8. Device permissions

  • Local Network (iOS) — to reach thermal receipt and kitchen-order printers on the Merchant's Wi-Fi. Required for printing. Purpose string shown on prompt: "Connect to thermal receipt and kitchen-order printers on your Wi-Fi."
  • Camera — optional, only when the cashier scans a product barcode. Purpose string: "Scan product barcodes at the counter."
  • Photo library / File access — optional, only when the manager picks a company logo image to print on receipts. Purpose string: "Choose a company logo for your printed receipts."

You can revoke any of these permissions at any time in your device's system settings without affecting your ability to sign in and take orders (features requiring the permission simply become unavailable).

9. Your rights

Because the Merchant is the data controller for their customer records, most rights requests should be sent to the Merchant. We support Merchants in fulfilling those requests promptly.

Under GDPR (European Economic Area, United Kingdom)

You have the right to: (a) access your personal data; (b) rectify inaccurate data; (c) erase your data ("right to be forgotten"); (d) restrict processing; (e) data portability; (f) object to processing based on legitimate interest; (g) withdraw consent; (h) lodge a complaint with your local supervisory authority.

Under CCPA / CPRA (California, United States)

You have the right to: (a) know what personal information is collected, disclosed, or sold; (b) delete personal information; (c) correct inaccurate information; (d) opt out of the sale or sharing of personal information; (e) limit use of sensitive personal information; (f) non-discrimination for exercising your rights. We do not sell or share personal information for cross-context behavioural advertising, so no opt-out link is required.

Under other laws (Kuwait, GCC region, and elsewhere)

Where local law grants additional rights (e.g. Kuwait's data protection framework, KSA PDPL, UAE PDPL), we will honour those rights on request through the same contact address.

10. Account and data deletion

To delete your data:

  1. Cashier account (Merchant-managed): contact your store manager. The manager can archive or delete your employee record inside Odoo; this cascades to the App on the next sync.
  2. Local device data: uninstall the App, or go to your device's system settings and clear the App's storage. Both actions erase every locally cached record.
  3. Customer records (data about the Merchant's end-customers): contact the Merchant. If you cannot identify the Merchant, email apps@raqmia.com and we will route the request.

11. Children

Systemy POS is a business tool intended for staff of retail merchants (16+). It is not directed at children under 13 (or under 16 where GDPR applies), and we do not knowingly collect personal information from children. If you believe a child has provided us with data, contact us and we will delete it.

12. International data transfers

Because the App communicates only with the Merchant's own Odoo server, the primary destination of Merchant data is determined by where the Merchant hosts that server. We do not act as an intermediary or aggregator, and we do not perform onward transfers to other jurisdictions.

13. Changes to this policy

We may update this policy from time to time. The "Effective date" and "Last updated" fields at the top of the page reflect the current version. Material changes will be surfaced inside the App on next launch, and the effective date will be moved forward. Prior versions are available on request.
