This Privacy Policy explains how Systemy (“Systemy”, “we”, “us”) collects, uses, shares, and protects personal information when you use our website, mobile application, and services (collectively, the “Service”).

If you are using Systemy through a business (your employer/company), that business may be the primary administrator of your workspace and may control how data is managed in that workspace.

2) What information we collect


We collect information in the following ways:


A) Information you provide

• Account information: name, email, phone number, password (or OTP), language preferences

• Business/workspace info: company name, branches, users/roles, settings

• Customer & vendor records you enter (CRM/Contacts)

• Product, inventory, sales, invoices, purchase-related records you enter

• Messages/support requests you send to us


B) Information collected automatically

• Device and app data: device model, OS version, app version, identifiers (as permitted), language, time zone

• Usage data: screens viewed, feature usage, clicks, error logs, crash reports

• Approximate location (only if enabled by you and needed for a feature; otherwise not collected)


C) Payment information

If you pay for Systemy, payments are typically processed by third-party payment providers. We usually receive payment status and transaction references, but not your full card number (depends on provider).


3) How we use your information


We use data to:

• Provide and operate the Service (login, dashboards, POS, inventory, etc.)

• Create and manage your workspace and users

• Secure accounts (authentication, fraud prevention)

• Provide support and respond to requests

• Improve performance and reliability (analytics, crash diagnostics)

• Comply with legal obligations and enforce our terms


4) Legal bases (where applicable)


Depending on your location and applicable laws, we process personal data based on:

• Contract necessity (to deliver the Service you requested)

• Legitimate interests (security, improvements, fraud prevention)

• Consent (where you explicitly opt-in; e.g., certain device permissions)

• Legal obligation (tax, compliance, lawful requests)

If you are a user under a company workspace, your administrator may access and manage your account and data within that workspace.


C) Legal and safety

We do not sell your personal data.

6) International data transfer


Your data may be processed in countries other than where you live (for example, where cloud providers operate). We take reasonable steps to ensure appropriate safeguards are in place (contractual and technical safeguards).

We keep personal data only as long as needed for:

• Providing the Service

• Meeting legal/accounting requirements

• Resolving disputes and enforcing agreements


When you request deletion (or when a workspace is terminated), we delete or anonymize data unless we must retain it for legal reasons.

We use administrative, technical, and organizational security measures designed to protect data (access control, encryption in transit, monitoring, backups). No system is 100% secure, so we cannot guarantee absolute security.

9) Your rights and choices


Depending on applicable law, you may have rights to:

Systemy is not intended for children under [13/16] (choose based on your target markets). We do not knowingly collect data from children.

11) Cookies (Website)


If you use the Systemy website, we may use cookies or similar technologies for:

• Essential website functionality

• Analytics (optional depending on configuration)


You can control cookies through your browser settings.

12) Third-party links


Our Service may include links to third-party sites/services. Their privacy practices are governed by their own policies.
